Four questions before you compare products

  1. Where does the lead enter? Forms, ads, calls, chat, referrals or imports.
  2. What channels are truly required? Email, SMS, calling, calendar reminders or only one of those.
  3. What CRM state must be visible? Contact fields, owner, opportunity stage, appointment status and source.
  4. What should stop automation? Replies, bookings, purchases, disqualification and opt-outs.

Do a workflow proof-of-concept before migration

A software demo can show that features exist; it cannot prove that your process will be maintainable. Rebuild one real workflow using your own fields, appointment types and stop conditions. Include the awkward cases: a duplicate lead, a reply before the second message, an appointment that gets rescheduled and a contact who opts out.

Only after the proof-of-concept works should you estimate migration. Inventory forms, tags, fields, workflows, calendar connections, templates, users and integrations. The best platform on paper can be the wrong project if moving to it creates more risk than the current follow-up problem.
