There is no useful universal number without context
A request for emergency service, a high-intent estimate form and a downloadable guide are not the same event. The response standard should reflect urgency, what the visitor expects and whether a human conversation is needed. This guide deliberately avoids repeating unsourced “X times more likely” statistics.
Split response into machine time and human time

Measure your own baseline
- Record lead-created time from the source system.
- Record the first meaningful human attempt separately from automated acknowledgement.
- Segment by source and intent so emergency and low-intent leads are not mixed.
- Review missed-SLA cases to find staffing, routing or notification failures.
- Improve the process before adding more automated messages.
Automation's role
Automation can acknowledge, enrich, route and create tasks immediately. It should not pretend a salesperson has personally responded when nobody has. Make system messages transparent and make ownership visible.
Create an exception path for leads that arrive outside coverage
If human response is unavailable overnight or on weekends, the system should set expectations honestly. An automated acknowledgement can confirm receipt, collect an additional detail or offer self-scheduling, but it should not imply that a salesperson is actively reviewing the request when they are not.
Track response performance by source and coverage window. That makes it possible to see whether a routing problem, staffing gap or low-quality source is causing delays. The goal is not to win a universal speed contest; it is to create a service standard the business can consistently meet.
