Define the dormant segment
A useful reactivation segment has a reason to exist: a prior quote request, an expired timing window, an old opportunity that was not ready, or a past customer whose next service window is relevant. Mixing every old contact into one campaign destroys context.
Check permission and data quality
Age, source, consent history, opt-outs and channel expectations matter. A contact record being present in the CRM does not mean every communication channel is appropriate. Remove hard bounces and suppressed contacts before designing the campaign.
Give the contact a reason to answer
- Reference the prior relationship or request accurately.
- Explain why the outreach is relevant now.
- Offer a simple yes/no/reply/booking path.
- Make the opt-out path easy to understand.
- Stop quickly when the person indicates no interest.
Reactivation belongs in the CRM
When someone responds, create a new active state rather than pretending the old opportunity never ended. Preserve the original source and history while making the new conversation visible.
Use reactivation to learn
Track which dormant segments actually respond. If one source or age band consistently does not, reduce future outreach. The goal is not maximum database activity; it is finding legitimate opportunities that are still relevant.
Create exclusions before the first send
Build the negative audience first: opted-out contacts, invalid addresses, unresolved complaints, people with an active opportunity, customers already in a current service workflow and records with unclear provenance. Exclusions prevent reactivation from colliding with a more important customer journey.
Then test a small eligible segment. Review replies manually and use what you learn to refine the message and audience before expanding. Reactivation is a database-quality exercise as much as a messaging exercise.
Create a reactivation-specific success definition
A successful reactivation campaign does not have to close a sale immediately. A valid reply, renewed qualification, booked conversation or confirmed lack of interest all improve database quality. Measure those outcomes separately so future campaigns can focus on the segments that produce meaningful conversations.
